While everyday applications and hardware are critical to keeping a business on its feet, so too are licensing requirements. All software requires licensing, and those businesses that invest in keeping their licensing up to date, and thus, legal, spend less in the long run.
Take, for example, your backup application. Let's assume you install an illegal copy. Then, a disaster occurs, and you have to recover vital business data. Naturally, you call the software manufacturer. But they discover then that you have an illegal copy and cut off your support. Now, your business is in serious trouble-a situation which could have been easily avoided by legally buying and registering the backup software.
Much like you expect your customers to pay for your goods and services, software companies are entitled to the same residuals of their work. We urge you not to adopt that attitude that software companies are these evil conglomerates that won't go broke from one license pirating (they won't, but that's not the point). Every software company we have ever worked with will allow you to "True Up" your licensing and correct any variances without penalty. They understand that mistakes are made and requirements can be overlooked. They also understand that companies can often be given bad advice about software from an amateur IT "professional."
We encourage you to run-don't walk-away from any IT person who is willing to knowingly install illegal software. Such a person has questionable ethics (it's stealing to use an illegal license), and will probably not stick around if you are audited or if something goes wrong with your infrastructure.
A reputable IT consultant or firm will not install or support illegal software.
